Under 18 Participation Policy

1. Purpose

This policy outlines how the Gallery manages entries from individuals aged under 18.

While the Gallery values youth participation in the arts, it does not operate children’s categories or children’s programs due to space and resource constraints.

2. Scope

This policy applies to participation (e.g. Exhibiting or acting as a volunteer) all exhibitions, competitions, and events administered by the Gallery where members of the public may submit artwork.

3. Entrant means the individual who submits artwork for exhibition at the Gawler Community Gallery. The entrant is responsible for ensuring that all submitted works are their original creation, that the information provided with the entry is accurate, and that they comply with the gallery’s age, exhibition guidelines, terms, and conditions. By entering, the entrant agrees to the gallery displaying their artwork for the duration of the exhibition and acknowledges the gallery’s policies regarding exhibition participation.

Eligibility of Under 18 Entrants

  • Individuals aged 16 and 17 may enter Gallery exhibitions and competitions within the standard adult categories.

  • The Gallery does not offer a children’s category. This is not a philosophical position, it is simply a practical limitation arising from the Gallery’s small footprint and volunteer capacity.

  • Entrants aged under 18 must have their entry form signed by a parent or legal guardian, confirming consent for participation, and the parent or guardian must commit to the roster duty required per the entry conditions of the exhibition being entered.

4. Supervision and Responsibility

  • The Gallery does not supervise under 18 entrants and does not assume responsibility for their welfare.

  • Any under 18 entrant exhibiting or volunteering at the Gallery premises is expected to do so under the supervision of their parent or guardian.

  • Gallery volunteers and committee members are not required to hold a Working With Children Check (WWCC), as the Gallery does not engage in child related work or run children’s programs.

5. Communication

  • All official communication regarding an under 18 entrant (e.g., acceptance, awards, collection of artwork) will be directed to the parent or guardian listed on the entry form unless otherwise agreed in writing (between the Gallery and the parent or guardian).

6. Handling of Artwork

  • Artwork submitted by under 18 entrants will be treated identically to adult submissions in terms of judging, display, and sales processes.

7. Review and Amendments

This policy may be reviewed annually or when legislative or operational changes require updates.

8. The Gallery may decline entries if consent is not properly provided.
